ELECTRONIC AUTHENTICATION SERVICE
ELECTRONIC CERTIFICATION SERVICE FOR WORK PERMIT APPLICATIONS FOR FOREIGNERS (IF YOU HAVE A SPONSORING COMPANY IN HANOI)
After October 20, 2025, the Hanoi Public Administration Service Center (under the Hanoi Department of Internal Affairs) announced that work permit applications will be electronically certified, allowing businesses to submit applications 100% online. Submitting original documents to the Department of Internal Affairs will no longer be permitted. Hard copies of work permits will also no longer be issued. Instead, foreigners and businesses will use electronic versions of work permits.
Regarding electronic authentication for foreigners applying for work permits: In principle, our company requires the original documents to be submitted to a notary office for electronic authentication.
However, our partner has connections with officials who can assist us with electronic authentication via scanned documents. You don’t need to send us the originals. However, you need to send scanned copies of the documents and record a video of yourself flipping through each page to prove that your documents are genuine and authentic, and that they are not forged or altered. Therefore, if you need electronic authentication for a work permit in Hanoi, Ninh Binh, etc., please send us the scanned copies for verification. Once we can complete the process, we will inform you clearly. Documents requiring electronic authentication include:
1. Passport. You need a color scan of the original. No translation or notarization required.
2. Health certificate. You need a color scan from the original. No translation & notarization required.
3. Criminal record certificate like C1, C2, tesol , telf, celta..You need a color scan from the original. No translation or notarization required.
4. University degree, work experience confirmation, English teaching certificate. You need a scanned copy for translation. You should translate it into English, have the signature authenticated, do not make copies, and notarize it – then send the scanned translation to us and we will authenticate it for you.
====> Electronic authentication processing time takes 1/2 day to 1 business day. Once we have the electronic authentication software, we will send it to you as soon as possible.
