Kingdom of Belgium

Belgium’s full name is the Kingdom of Belgium, located In Western Europe, the East borders Germany with a border length of 167km and Luxembourg with a border length of 148km, the West borders the North Sea, the South borders France with a border length of 620km, the North borders the Netherlands with a border length of 450km. The topography of Belgium consists of 3 main regions:  coastal plains in the northwest, plateaus in the center and highlands in the southeast. The southeastern region of Belgium is a plain with the Adenine forest with the peak of Boterran, 694m high. The plains are fertile yellow soil. In the central part of Belgium is an important agricultural region. The coast has the Plains of Cambodia and Pho-village. Behind the coastal dunes are newly reclaimed areas from coastal swamps.

1. General information about Belgium visa.

When visitors enter and exit the Kingdom of Belgium, foreign nationals are required to have a valid passport, or an alternative document other than the accompanying visa.

– Visa applicants must legally stay in Vietnam.

– Visa applications must be submitted as early as 3 months or at least 21 days before the intended date of travel.

– The applicant must submit the student in person at the Reception Office according to the scheduled appointment. The biological data (10 fingerprints and digital photo) is taken when applying for a visa.

– The application is considered based on the documents provided by the applicant (Incomplete documents may be refused a visa).

– When necessary, applicants may be invited to an interview and asked to provide additional documents.

– All documents in Vietnamese must be accompanied by notarized translations into English or French, German.

– All documents must be accompanied by translation, 1 photocopy for each document and originals for comparison. The reception room retains only translations and photocopies.

– Documents and documents must be A4 paper size, documents by fax and e-mail are not accepted.

2. Basic procedures for issuing a Belgian visa.

– Complete the Belgian visa application form and sign it personally, providing 02 photos of 3.5×4.5cm white background (face area accounts for 80% of the photo area).

– Passport (with at least 2 blank pages, not older than 10 years, valid for at least three months until visa expiry).

– Proof of transportation (book airfare, or other means).

– Travel, health and accident insurance (insurance of at least €30,000) for the Schengen area.

– Identity documents: ID card, household registration book, marriage registration.

– Proof of employment documents.

+ Business owner, legal representative of the enterprise: Business registration, member confirmation, tax payment confirmation of the company…

+ Employees: Labor contract, appointment decisions, personnel reception, salary confirmation.

+ For students: Confirmation of the school’s learning.

+ For retirees: Documents proving pension rights.

– Financial proof documents: Passbook, bank account statement, balance confirmation.

– A statement confirming parental authority for minor children to travel without their parents.

– Some documents will have to legalize certification at the request of the Embassy.

3. Detailed procedures according to the purpose of entry to the Kingdom of Belgium.

* Belgian Visa for Tourist purposes.

– Letter of Invitation to Guarantee:

+ From a tour organizer in Belgium with legal documents of the tour company.

+ From 1 individual who is a citizen of Belgium or a foreigner residing long-term in Belgium: Provide passport face, accommodation facility of the guarantor; Provide documents proving employment, income, finance, personal account statements; Original and attested family composition certificate of the name of the guarantor, issued by the city of residence in Belgium.

– Detailed itinerary for the duration of your stay in Belgium and Schengen member states.

– Documents as proof of stay in Belgium (book hotel).

– Proving the applicant’s bond in Vietnam: Red book, other income proof documents.

* Belgian Visa for Business Purpose.

– The original invitation letter of the organization or business in Belgium, please ensure that it includes the inviter’s details, the inviter’s details, personal identity details, the list of invitees, the address of the invitees, contact information, the time and purpose of stay and the person’s relationship with the applicant,  the party paying the cost of the trip.

– Business registration of the inviting company, the passport of the person signing the invitation letter.

– Documents as proof of stay in Belgium (book hotel).

– Business registration of the company in Vietnam, confirmation of tax payment.

– Account statement of the company in Vietnam in the last 6 months.

– Decide on the work of the company whose personnel are invited.

– Documents proving the commercial relationship between the 2 parties.

* Belgian visa for the purpose of visiting relatives and friends.

– Original invitation letter of the individual who is a citizen in Belgium sponsoring through the regulatory authority of the province/city where the guarantor resides, please ensure that it includes the inviter’s details, the invite’s details, personal identity details,  The inviter’s list, inviting address, contact information, duration and purpose of stay, and the inviter’s relationship with the invitee, the party paying the cost of the trip, together with the inviter’s passport.

– Original and attested family composition certificate in the name of the guarantor, issued by the city of residence in Belgium.

– Proof of employment, income, finances, personal account statement, accommodation of the inviter.

– Documents proving the relationship: Birth certificate, Marriage registration certificate…. (These documents must legalize consular certification.)

Document as proof of stay in Belgium of the invitee (book hotel) – this document is not required if the inviter can prove accommodation to invite the applicant.

– Proving the applicant’s bond in Vietnam: Red book, other income proof documents.

Visa procedures to Belgium

The time to apply for a Belgian visa is 15 – 30 days from the date the Consulate receives the application (excluding Saturdays, Sundays and public holidays). Package service fee:

➥ Step 1: Apply for a Belgian visa online on the system of the Belgian Embassy.  Also make an appointment for fingerprinting.

• Belgian company invitation letter. This letter must be written on the company’s official letter form. The letter must clearly state the name, job position, passport number of the invitee. Apply for a Tourist Belgium Visa

• Original passport + notarized copy of the whole book (02 copies).
• Figure 3.5×4.5 – 4 white sheets.
• Labor contract, leave application, 3-month payroll, bank account statement for the last 3 months, real estate documents – notarized copy.
• Invitation letter (if any) + guarantee documents (if any).
• Marriage certificate, household registration, birth certificate – notarized copy.
• Global travel insurance: based on travel date snooze.

Apply for a Belgian visitor visa

• Original passport (issued within the last 10 years), valid for 3 months after the expiry date of Belgian tourist visa, with signature, intact on at least 2 adjacent unused pages.
• Application for a Belgian visitor visa and 2 passport size photos, white background, not older than 6 months.
• Financial proof: last 3 months payslip, bank account statement (3 months back), credit card, traveler’s check, proof of tax payment, real estate documents…
• If you have a guarantee in Belgium: the sponsor must be allowed to live in Belgium for an unlimited period of time. The guarantee is consular legalized and valid for 6 months.
• Financial proof of the guarantor: copy of payslip (3 months back), latest taxable income return, other official income proof…
• An indefinite copy of the sponsor’s identity card or residence card
• Certificate of family composition of the sponsor (issued by local authorities)
• Proof of accommodation: booking hotels, motels, letters from friends or family members inviting to stay…
• Proof of kinship with the sponsor or inviter: birth certificate, consular legalized marriage certificate.
• Proving ties in Vietnam: certificate of marriage, having children, having income in Vietnam…
• If you are a minor: a written consent from your parent or sponsor for permission to travel abroad, a passport or parental ID card, a copy of your birth certificate is required.
• If you are working or going to school: leave letter from the governing body.
• Travel insurance with a minimum expenditure of USD 30 000 (original+copy).
• If traveling to another Schengen country, a visa must be presented for those additional countries.
• Proof of return flight booking

Note for Belgian visa applications for business, tourism, coal visit

• Applications must be submitted 3 weeks before the travel date.
• If applying in Hanoi: the original documents must be accompanied by 1 photocopy
• If applying in Ho Chi Minh City: all documents (with photocopies with originals as submitted in Hanoi) must be photocopied for 1 more set
• Documents must be accompanied by a notarized translation if they are not written in French, Dutch, German or English.
